The Opportunity

Kargo is looking for a friendly, organized, and dependable Receptionist to be the first point of contact for employees, clients, candidates, vendors, and other visitors to our New York City office.

In this highly visible role, you’ll help create a welcoming, organized, and professional office experience while keeping the front desk and day-to-day office operations running smoothly. You’ll also provide administrative support to our Chief People Officer and People team, helping coordinate calendars, meetings, interviews, visitors, presentations, and other team priorities.

This is a great opportunity for someone who enjoys being at the center of a fast-paced office, takes pride in creating a great experience for others, and is comfortable jumping between reception, office coordination, and administrative support throughout the day.

This is a full-time, in-office position, Monday through Friday from 8:30 AM–5:00 PM.

The Daily To-Do

  • Serve as the first point of contact for the NYC office, warmly greeting and assisting employees, clients, candidates, vendors, and other visitors.
  • Manage the front desk and ensure the reception area, conference rooms, and shared office spaces are organized, professional, and ready for the day.
  • Coordinate visitor access, guest registration, conference rooms, and meeting logistics, including notifying employees when their guests arrive.
  • Keep employees informed of important office updates and disruptions, including Wi-Fi/connectivity issues, elevator or building updates, facilities matters, and other information impacting the NYC office.
  • Receive, sort, and distribute incoming mail, packages, and deliveries and coordinate outgoing shipments as needed.
  • Support day-to-day office operations, including conference room scheduling, meeting setup, office lunches, supply management, restocking, and vendor deliveries.
  • Provide administrative support to the Chief People Officer, including calendar management, meeting and conference coordination, interview scheduling, conference room coordination, visitor management, expense support, and presentation/deck preparation.
  • Coordinate interview logistics and calendars, creating a polished and organized experience for candidates and interview teams.
  • Partner with the People team on employee events, new hire arrivals, office communications, presentations, and other administrative needs as they arise.

Qualifications

  • Previous experience in reception, hospitality, customer service, administrative support, office coordination, or another client-facing role preferred.
  • Friendly, polished, and professional communication skills with a genuine interest in creating a positive experience for employees and guests.
  • Highly organized with strong attention to detail and the ability to manage multiple calendars, meetings, requests, and priorities at once.
  • Dependable and punctual, with the ability to work onsite Monday through Friday from 8:30 AM–5:00 PM.
  • Comfortable using Google Workspace, calendars, presentation tools, and modern productivity/AI tools such as ChatGPT and Claude; willingness to learn new technology quickly.
  • Strong written communication skills and comfort drafting clear office updates, meeting communications, and other internal messages.
  • Strong judgment and discretion when handling confidential employee, executive, visitor, and company information.
  • Proactive, resourceful, and flexible, with a willingness to jump in wherever needed to keep the office and People team running smoothly.

In accordance with applicable federal, state, and local pay transparency laws, the anticipated base salary range for this position is listed below. In addition to base salary, this role is eligible for variable compensation — either the Kargo Sales Incentive Plan (sales roles) or an annual discretionary bonus (all other roles). Actual compensation may vary based on factors such as geographic location, work experience, education, and skills.

$25—$25 USD
