Who We Hire

Product builders who turn ideas into innovations. Anyone eager to be on a team that doesn’t stop to ask what’s next, because they’re already building it.

The Opportunity

Kargo is seeking a highly organized, resourceful, and dependable C-Suite Assistant to support members of our Executive Team. As part of the People Operations team, reporting to the Chief of Staff, this individual will play an important role in keeping our executives organized, prepared, and focused on business priorities.

We're looking for someone who genuinely enjoys administrative work, takes pride in getting the details right, and brings a proactive, service-oriented approach to everything they do. The ideal candidate is a strong communicator, thoughtful problem solver, and reliable partner who anticipates needs, follows through on commitments, and stays composed when priorities shift.

Just as importantly, we're looking for someone who enjoys being part of a team someone who warmly welcomes colleagues and visitors, builds relationships across the organization, and is always willing to step in and help when needed.

This is a great opportunity for an administrative professional who wants to continue building their career in executive support while finding new ways to make day-to-day operations more efficient.

The Daily To-Do

  • Executive Calendar Management: Proactively manage complex executive calendars, coordinate internal and external meetings, resolve scheduling conflicts, and help protect executive time and priorities.
  • Travel & Expenses: Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries. Prepare and reconcile executive expense reports accurately and on time.
  • Meeting & Event Coordination: Organize meeting logistics, agendas, materials, catering, client visits, and small internal events, ensuring details are handled smoothly from start to finish.
  • Administrative Excellence: Manage recurring administrative tasks, documents, communications, and follow-ups with strong attention to detail, accuracy, and accountability.
  • Team & Office Support: Serve as a welcoming and approachable presence in the NYC office, greet visitors, support colleagues, and provide backup coverage for Reception, other C-Suite Assistants, and the Executive Assistant to the CEO as needed.
  • Proactive Problem Solving: Anticipate executive and team needs, manage competing priorities, communicate proactively, and step in to help resolve issues or support the team when unexpected needs arise.
  • AI & Process Improvement: Demonstrate curiosity about AI and emerging technology, identifying opportunities to streamline scheduling, reporting, document preparation, and other administrative workflows while maintaining accuracy and confidentiality.

Qualifications

  • 3–5+ years of administrative or executive support experience, ideally in a fast-paced, dynamic environment.
  • Strong organizational and calendar management skills, with the ability to balance multiple priorities, meet deadlines, and consistently follow through.
  • Exceptional attention to detail, reliability, and a sense of ownership over day-to-day administrative responsibilities.
  • Excellent written and verbal communication skills, with a warm, professional, and service-oriented approach.
  • Sound judgment, discretion, adaptability, and the ability to remain calm and resourceful when priorities change.
  • Proficiency in Google Workspace, Microsoft Office, Slack, and expense management tools, along with curiosity about AI and technology that can improve administrative efficiency.
  • A collaborative, team-first mindset with a genuine interest in executive support and a willingness to help wherever needed. Ability to work on-site five days per week, with occasional flexibility outside standard business hours.
